Preventing legal action from employees, customers, the general internet or one of the growing number of regulatory compliance bodies has become a fundamental commercial reality for modern organisations. The accidental and potentially damaging dissemination of sensitive properties such as trademarks and patents via email is a growing issue which should be managed effectively.
Compliances often mean a headache for IT and legal departments, but with MSCmail's policy and compliance solution, businesses can automatically ascertain the compliance of every email they send or receive.
Therefore compliance is achieved in both the organisations' 'acceptable use' policies, and all public or private regulatory board requirements. MSCmail is simple to use, with benefits which include:
- The straightforward creation of personalised acceptable use policies, which is applicable to: inbound and outbound email, subject headers, body, attachments, recipient and sender information.
- Creating complex expressions as search criteria, providing the flexibility to comply with all corporate rules.
- Obeying the law, through pre-defined ethnic, sexual and regulatory filters.
- Efficient identification and removal of illegal or offensive material via image scanning.
- Transparent reporting to ensure full accountability and consistent compliance.
- Privacy and security of all emails guaranteed by full data encryption.
- Easy content configuration and management.
- Effective policy enforcement
- The use of a secure location to assess suspect mails, without risking the organisation's infrastructure.
How it works
Using an easy to manage interface, the administrator can create policies to ensure that email content is in accordance with "acceptable use" policies, and any relevant regulatory compliance measures. These polices are applied to both inbound and outbound email, and to the email subject header, body, attachment, recipient or sender. In creating the rule, a condition can be checked against a number of pre-defined dictionaries, or by using the regular expression builder; administrators can create their own search criteria. As corporate rules vary, this flexibility is crucial. If email content falls outside of a defined acceptable use rule, administrators can take action, including holding the message in an approval box, with notification forwarded to a predefined user list.
End user experience:
The end user is protected from not only external threats and abuses, but also the ability to distribute sensitive and classified information. Employees are provided with a safe IT environment, where they can work efficiently, without downtime. If a policy is breached, the end user will receive a notification if the policy includes the action committed.
